Position Overview

We are seeking a detail-oriented and reliable Administrative & Accounting Assistant to support our daily office operations and accounting functions. This role involves a variety of administrative tasks, as well as basic accounting responsibilities such as managing accounts payable, data entry, and maintaining accurate financial records. The ideal candidate will have prior experience with accounting software, strong organizational skills, and the ability to work independently in a fast-paced environment.

Key Responsibilities

  • Manage workflow by ensuring that deadlines are met.
  • Filing, copying, scanning and document distribution according to schedule.
  • Implement and monitor programs as directed by management.
  • Generate memos, emails, and reports when appropriate.
  • Respond to questions and requests for information.
  • Excellent verbal and written communication skills.
  • Maintain reception area and all common areas in a clean and tidy manner.
  • Ability to manage multiple projects simultaneously.
  • Assist the Finance team as needed in areas such as accounts payable
  • Keep inventory and order office supplies.
  • Answer all incoming calls.

Qualifications

  • Proficient in Microsoft applications
  • Previous Administrative office experience
  • Accounts Payable Processing experience
  • Electronic File Retention
  • Previous construction/manufacturing administrative office experience a plus.
  • Bilingual a plus, but not required
  • Strong organizational and communication skills
  • Must be authorized to work in the U.S. and able to pass a pre-employment drug screen and background check.
  • On-site position —remote work is not available.
