Job Description

About the Role:

This role supports complex real estate transactions by ensuring seamless coordination, documentation accuracy, and compliance with industry standards. The ideal candidate will be detail-oriented, highly organized, and adept at managing multiple priorities in a fast-paced environment. Working closely with brokers and stakeholders, this position plays a crucial role in facilitating successful commercial real estate deals.

Key Responsibilities:

  • Oversee and coordinate all aspects of commercial real estate transactions from contract initiation to closing
  • Prepare, review, and manage legal documents, contracts, and agreements
  • Ensure compliance with regulatory requirements and internal policies throughout the transaction process
  • Maintain accurate records and track key dates, deadlines, and deliverables
  • Collaborate with brokers, attorneys, lenders, and clients to facilitate efficient communication
  • Conduct due diligence, including researching property records, zoning, and ownership history
  • Support lease negotiations by organizing and reviewing lease agreements and amendments
  • Assist in drafting letters of intent, purchase agreements, and closing documents
  • Manage transaction checklists and ensure all necessary approvals are obtained
  • Coordinate title and escrow processes, ensuring timely resolution of any discrepancies
  • Process financial transactions, including deposit tracking and wire transfers
  • Maintain confidentiality while handling sensitive corporate and client information
  • Provide regular status updates and reporting on transaction progress
  • Conduct market research and analyze trends to support real estate decisions
  • Develop and maintain organizational systems to streamline workflow and enhance efficiency
  • Assist in resolving issues related to contracts, closings, and lease disputes
  • Support client and stakeholder inquiries, ensuring timely responses and resolutions
  • Prepare presentations and reports summarizing deal progress and key insights
  • Stay informed on industry regulations, best practices, and emerging trends

Qualifications:

  • Bachelor’s degree in business, real estate, or a related field preferred
  • Proven experience in commercial real estate transactions or legal contract management
  • Strong understanding of industry regulations, compliance requirements, and best practices
  • Exceptional organizational skills with the ability to manage multiple deadlines and priorities
  • Proficiency in document preparation, contract review, and transaction coordination
  • Excellent communication and interpersonal skills to liaise with various stakeholders
  • High level of confidentiality and discretion in handling sensitive information
  • Ability to analyze complex documents and provide recommendations for accuracy
  • Proficiency in Microsoft Office Suite, CRM platforms, and real estate management software
  • Strong problem-solving skills and attention to detail
  • Ability to work independently while collaborating effectively with a team
  • Experience coordinating title, escrow, or lease negotiations is a plus
  • Knowledge of market trends, zoning regulations, and property due diligence processes
  • Ability to thrive in a fast-paced environment with shifting priorities
